First, a Promise on Privacy

GeoAlberta’s ability to deliver a high-quality event is built on information. Sometimes personal, this information is gathered only to store and use, when required, to improve our attendee’s event experience. We recognize and appreciate the trust and responsibility inherent in this role, and take it very seriously. We therefore promise that our intention is to only gather and selectively share information that will help make your GeoAlberta experience memorable and valuable and we promise to protect the integrity of this information to the very best of our ability.

General Privacy Statement

As part of GeoAlberta’s commitment to privacy, we would like to confirm with you the purposes for which we will be collecting your personal information. They are as follows: in order to confirm your identity, correspond with you regarding billing and/or collection matters, and service your account. We will only share your personal information with affiliates and other companies who help us fulfill our commitments to you and who share our commitment to protecting your privacy. From time to time, we may also follow up with you to ask for your feedback and send you information about our event and related services.

If you choose to complete your registration, you consent for us to collect, use and disclose personal information you provide to us in the manner and for the purposes described in this document. Introduction

The protection of personal information is important to GeoAlberta. Our staff and volunteers play an important role in protecting personal information. Our volunteers are required to adhere to this policy and take all reasonable steps to ensure that personal information is protected from unauthorized access.

Collection, Use and Disclosure of Personal Information

Although we deal mostly with companies and business customers and therefore collect mostly business/professional information, we also sometimes service individual customers. We collect the personal information of our individual customers in order to administer the contract for products and/or services. When dealing with these individual customers we collect the following types of personal information:
  • Customer name
  • Customer address and telephone number
  • Customer e-mail address
This personal information is collected for the following purposes:
  • In order to contact the customer for instruction and billing purposes
  • For the administration of services
  • To collect payment

We only use a customer’s personal information for the purposes outlined above. If we need to use the personal information for any other purpose we will contact the customer and obtain consent prior to that use.

We only collect personal information directly from the customer except when we have the customer’s consent to collect information from elsewhere or are permitted by law to collect it without the customer’s consent.

We will only share your personal information with affiliates and other companies who help us fulfill our commitments to you and who share our commitment to protecting your privacy.

Our customers have the right to withdraw consent for our collection, use or disclosure of their personal information at any time. However, if a customer does so, it may affect his/ her ability to attend and enjoy GeoAlberta. If a customer wishes to withdraw consent, or has any questions about withdrawing consent, he or she can contact our Privacy Officer.

Note: Business contact information is not protected by this policy. Business information is not considered to be personal information and may be collected, used and disclosed without consent.

Consent

In most cases, customers consent to us collecting, using and disclosing personal information for the purposes outlined above by simply agreeing to provide us with the personal information. However, there may be cases where we require explicit consent. The withdrawal of this consent will generally not affect a customer’s ability to obtain the product or service they require, however by providing us with consent for the previously outlined uses, we can better serve the customer and provide them with a uniquely valuable and entertaining professional development experience.

Storing your Personal Information

We only keep personal information for as long as is necessary for the purposes outlined above. This may include keeping the information after an event or project is completed in order to resolve any problems or concerns that may arise and to analyze trends to help improve GeoAlberta for future years. We are also required by law to maintain certain records for set amounts of time. We have appropriate safeguards in place to protect personal information and when we no longer need the information, it is destroyed. We try to keep personal information as accurate as possible and customers can assist us by providing us with updated information when necessary. Information can be updated by contacting our Privacy Officer.

Access

Our customers have the right to access the personal information we hold about them. A customer can access his/her personal information by making a request to our Privacy Officer. The Officer will provide the necessary assistance to make the request and obtain the information. If the customer believes that some of the personal information is incorrect, he or she can request that the information be corrected.

We may charge our customers for out-of-pocket expenses in responding to an access request. If we decide that a charge is appropriate we will provide the customer with an estimate prior to providing access. Any concerns with the estimated charge should be directed to our Privacy Officer.

Accountability

We apply our best efforts to protect our customer’s privacy. If our customers have any concerns, they are free to contact our Privacy Officer. We hope that the Officer will be able to resolve any problems. If concerns are not resolved, the Officer can provide information on making a formal complaint.
